Terms and Conditions

Last updated: June 2026

NeuDocs is operated by Shereef Ibrahim, trading as NeuDocs. These terms govern your firm’s use of the NeuDocs service. Billing is handled by our reseller and Merchant of Record, Paddle; payment, tax, and refund matters are also governed by Paddle’s Buyer Terms. The sections below cover your use of the NeuDocs application itself.

1. Service description

NeuDocs provides a document-collection portal that allows accounting, bookkeeping, and tax firms (“Customers”) to send structured document requests to their clients, collect file uploads securely, track missing items, review submissions, and export completed packages. The service is accessed via a web application hosted by NeuDocs.

2. Acceptable use

Customers may use NeuDocs only for lawful document-collection workflows consistent with the service description above. You must not:

  • Use the service to collect files unrelated to legitimate professional engagements.
  • Attempt to access another firm’s data or bypass tenant-isolation controls.
  • Upload or distribute malware, unlawful content, or content that violates third-party rights.
  • Use automated means to abuse the service, including credential-stuffing or scraping.
  • Misrepresent the purpose of a document request to clients.

3. You own your data

You retain full ownership of all data and files uploaded through the service. NeuDocs holds your data only to provide the service. We do not claim any rights to your clients’ files or your firm’s data, and we do not use them for advertising or to train AI models. You are responsible for ensuring you have appropriate authorisation from your clients to collect and process their documents through NeuDocs.

4. Accounts and security

You are responsible for maintaining the security of your staff accounts, including enabling multi-factor authentication (which is required for staff access). You must notify us promptly if you become aware of any unauthorised use of your account.

5. Subscriptions, trial, and billing

NeuDocs is offered on a subscription basis after a free trial. No credit card is required to start the trial, and you may cancel at any time to stop future charges. Paid subscriptions are sold and billed by Paddle as Merchant of Record. Prices, applicable taxes, renewal, cancellation, and refunds are handled through Paddle and our Refund Policy.

6. Availability

We aim to provide a reliable service but do not guarantee uninterrupted availability. We may perform maintenance, upgrades, or take the service offline for operational reasons, with notice where reasonably practicable.

7. Limitation of liability

To the maximum extent permitted by applicable law, NeuDocs’s total liability for any claim arising out of or related to these terms or the service is limited to the fees you paid for the service in the twelve (12) months preceding the claim. NeuDocs is not liable for indirect, incidental, special, or consequential damages. Nothing in these terms limits liability that cannot be limited under applicable law.

8. Governing terms for billing

Because Paddle acts as Merchant of Record for all purchases, the commercial terms of sale — including payment, taxes, chargebacks, and refunds — are governed by Paddle’s Buyer Terms. These NeuDocs terms govern your use of the application.

9. Changes to these terms

We may update these terms from time to time. Material changes will be communicated to Customers by email or in-app notice before taking effect. Continued use of the service after the effective date constitutes acceptance of the updated terms.
